More and more customers are selecting NetSuite as Sage replacement.

We took the camera crew into Aspen Solutions Ltd Glasgow offices to find out why their FD, Paul Harkins CA, selected NetSuite software as Sage replacement.   Here he talks candidly to Cofficient Director Paul Grant CA about some of the problems he was experiencing which forced him to make the switch.

Talking about how Sage was only really equipped to deal with low volumes of transactions, he explains how Sage slowed the business down.

Managing spreadsheets had become a real pain as more and more time was spent repairing the broken links, and lack of visibility was becoming a real problem in the business.  “You were actually waiting until 5pm on the end of the month to see how the business had actually performed”, explains Harkins.   Talking about how visibility is better and the “process and power” available to him as Financial Director is much improved Harkins declares “we can depend on the NetSuite system”.

Cofficient, one of the UK’s longest standing NetSuite partners, have today announced the implementation of NetSuite MME into Aspen Solutions Ltd.   With offices in Cumbernauld and Glasgow city centre, Aspen Solutions are one of Scotland’s largest IT hardware, software and technical specialists.

Aspen Solutions Ltd started their search and select process after sales had increased to a point where their current systems couldn’t support the volume of product moving through their warehouse and staff working across different locations.  Recognising the need to upgrade the disparate systems of Sage and Salesforce, FD Paul Harkins selected NetSuite MME at the end of 2015.

Speaking of the issues in the business Harkins says, “We used Salesforce for CRM, but the sales people failed to engage with it.  It was pointless putting information into Salesforce and then duplicating it in Sage.  As a consequence we didn’t have much visibility of sales pipeline or stock requirements going into each month.  Add to that the fact our Sage had not been set up to deal with the vast increase in orders we decided to make a change – to focus on customer service and support the continued growth of our business”.

Despite these explicit business pain points, Harkins talks about the unexpected ways that NetSuite has improved the business.  “Sometimes we would “lock stock up” for up to 30 days because of orders we anticipated.  Now we have much better visibility and we can release items back into stock for customers who need it more urgently.  We’ve also gained more insight into our profitability- both in terms of customers and inventory.  Rather than purchasing another 30 of one particular item because anecdotally we thought it was profitable, now we can actually tell for sure.”

Paul Harkins explains why Cofficient were a good fit for Aspen Solutions Ltd, “They have been implementing NetSuite for longer than any other providers which gave us confidence.  When you add to that Paul Grant’s experience as a chartered accountant and finance director it made their appointment a no brainer – especially since the financial implementation was key.”
